Privacy Policy
Last updated: October 28, 2026
This policy explains what personal information avaaris.com collects, why, and what we do with it. The site is run by Avaaris Solutions Inc. (“Avaaris”, “we”, “us”), a British Columbia company. We handle personal information under British Columbia’s Personal Information Protection Act and, where it applies, Canada’s Personal Information Protection and Electronic Documents Act.
The Avaaris Flight Log Reader at flight.avaaris.com is a separate app with its own privacy policy.
1. What we collect
The contact form. Your name, your email address, the topic and your message. We use them to answer you and for nothing else. We don’t add you to a mailing list or share your details with anyone.
Bookings. If you book a flight review or training, your name, email address, phone number, what you booked, whether you’ve passed the Small Advanced exam, and anything you tell us about when and where suits you. We use them to arrange and run your booking, and for a flight review the reviewer submits your result to Transport Canada with the details Transport Canada asks for. Your card details go straight to Stripe and never reach us.
The agents. If you have an access code and ask one of our AI agents a question, we keep the question, the answer, the access code that asked it and the mark you give the answer, so we can check how accurate the agent is. Please don’t put personal information in a question.
Visiting the site. Like any website, our host receives technical details with each visit, such as your IP address and browser, to serve the pages and protect the site from attacks. We don’t run analytics, advertising or tracking of our own.
2. Where it goes
A message from the contact form is sent through Microsoft’s Azure Communication Services, which holds its data in Canada, to our email inbox in Microsoft 365. You also get a confirmation from an address that doesn’t receive replies.
A booking goes to Stripe, our payment processor, which takes your payment and keeps the booking details with it. Stripe then lets our site know, and the booking reaches our inbox through Azure Communication Services, the same way a contact form message does.
A question to an agent goes to our agent service, which searches the documents it holds and sends the question and the passages it found to an AI model provider to write the answer.
The site is hosted by Vercel. Vercel, Stripe, the AI model providers and Microsoft may store and process information outside Canada, including in the United States, where it is subject to that country’s laws.
3. Cookies and your browser
We don’t set cookies of our own. Our host may set a security cookie to tell people apart from automated attacks. If you use an agent, your browser remembers your access code so you don’t have to type it again. Clearing this site’s data in your browser removes it.
4. How long we keep it
We keep contact form messages for as long as we need them to answer you and keep our business records. We keep booking and payment records for six years, as Canadian tax law requires. We keep agent questions and answers while the agent is being tested. When we no longer need something, we delete it.
5. Seeing, correcting or deleting your information
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing info@avaaris.com. We will answer within 30 days. If you’re not happy with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia.
6. Who is responsible
Our director is responsible for privacy at Avaaris and can be reached at info@avaaris.com.
7. Changes
If we change this policy, we will update the date at the top of this page. The Terms of Use cover the rest of your use of the site.
